DBS CHECKING SERVICE

Approved for the processing of DBS checks for Care Inspectorate Wales 

Thank you for submitting your request to be able to conduct your DBS check via Vibrant Nation, powered by Complete Background Screening. If, for some reason, you have not made this request yet then please contact Care Inspectorate Wales at 030 0790 0126 to make your request. A link to the application form, together with a username and password, will then be issued to you, subject to eligibility. You will no longer be able to complete a paper application via Care Inspectorate Wales.

 

We recommend that you read these advisory notes thoroughly prior to completing your application. APPLICATION​ PROCESS

Use the link sent to you by Care Inspectorate Wales to start to complete the DBS application and complete the following application stages:

Complete application form (subject to eligibility). 

Use the online payment facility to pay the fees; total price £49.60.

Get your identity checked by a Care Inspectorate Wales officer.  

DBS checks usually return within 14 days of submission.

THE DBS UPDATE SERVICE

Spread the cost, save time, provide added level of assurance to your customers/employer.

The DBS Update Service has been designed to make your DBS check portable (so you can take it from employer to employer without the need or expense of having to do another check).
 

The main benefits of the Update Service are:

  • Your DBS check will be portable

  • You will never have to apply for another DBS check (unless new disclosure information is made available)

  • You will be automatically checked annually

  • Provide your customer/employers with added assurance

 


Important notice: As part of your application, you will be asked to sign up for the Update Service. Prior to starting your application you MUST read the following guidance

If you choose to register for the Update Service:


If you choose to register for the Update Service, the costs will be £13, plus administration fees of £4.80 (inc VAT). You will be registered online as part of your application process. If you would like more information on this service, please contact our Customer Service Line on 029 2033 4995 or take a look at the Government information by following this link. 6 months following your initial check, Vibrant Nation will contact you to see if you would like to continue with your registration for the upcoming year, you will be asked to sign up to a Direct Debit and will be contacted each subsequent year to renew. On choosing to register for the Update Service as part of your online application, you will also be consenting for the administrators of this system to contact you with reminders, prior to the expiry of your first year’s registration to the service. You will be provided with options on how to renew your Update Service registration (see options 1 & 2 below). Continual registration to the Update Service will mean that you will never have to complete another DBS check unless new disclosure information is made available. This also provides added assurance for your customers/employer that they can check the status of your check at any time.




If you decide not to subscribe to the Update Service:


Subscription to the Update Service or not is entirely your decision. Registering, and continuing to be registered, with the DBS Update Service will mean that you will not, at any time (as long as your check remains clear) have to conduct a further DBS application. If you decide you do not wish to provide your permission to register with the Update Service, you simply do not tick the permission box on the application form.





There are 2 ways in which you can register for the Update Service:

Option 1: Online annual renewal via this system


This can be done online as part of the DBS application you are about to submit. The fee for the first year will be payable at the same time of this DBS check. You will then get an email, 6-months following completion of your check, to ask if you would like to continue with the update service. If this is the case then you will be sent a link to pay for the check, this will cost £13 – the DBS fee plus £4.80 (inc VAT) administration charge. After this, you will just receive this reminder annually to continue with the subscription without the need to conduct another DBS check. You would, therefore, pay a total of £17.80 (inc VAT) per annum, rather than £53.60 once every three years. You can, therefore, spread the cost, save time and provide your customers / employer with the added assurance that you are being checked annually.




Option 2: Manual renewal via DBS


There are two ways to register for the update service direct with DBS.

  1. Using the application form reference, you are required to complete this within 28 days of your application date and pay your £13 fee.
  2. Using your certificate, you are required to do this within 30 days of the issue date and pay your £13 fee.

There are no administration charges for completing your check in this way but if you do not submit the form and payment within the time frame explained above, you will not have another opportunity to register for the update service until you next complete a DBS check.

ASKED QUESTIONS

How do I get started?


You must firstly, if you have not already done so, contact Care Inspectorate Wales on 0300 7900 126 and request a DBS check with them. Once they have confirmed that you are eligible for a check you will be given a unique reference number (URN) and user name which you can use to log into our on-line system to complete your on-line DBS application form.

Before we can counter-sign and submit your completed application to DBS, you will need to book an appointment with Care Inspectorate Wales so that they can confirm your identity. Once this is done we will be informed and are then able to counter-sign and submit your application.




Will the service be available in Welsh?


Yes. The service is bi-lingual. Please note that where questions/information is provided in English only this is because it is a requirement of the DBS and therefore beyond the control of Vibrant Nation/CBS.




How do I get help if I am having difficulties with the system?

  2. By calling the helpline on 029 2033 4995. This service is available from 9am - 5pm (excluding weekends and bank holidays). The helpline is operated by Vibrant Nation and their advisors should be able to guide you through any challenges you may face.

Further, the system has been designed by CBS to be intuitive. Therefore, the system will not allow you to progress to the next page of the application, should it think you have completed a field incorrectly (e.g. if you have incorrectly entered your driver’s licence number). This will cut down on the time required to complete an application as there is little room for error/returned applications due to incomplete / incorrect information being submitted.




How much will the service cost?


You will be required to pay the cost of the DBS fee (currently £44) and an administration fee (currently £9.60 inclusive of VAT). This fee is non-refundable.

You are also encouraged to sign up for the DBS Update Service. This costs £17.80 per year (inc VAT). You will need to renew your subscription each subsequent year at the same cost.

How do I pay for my DBS check?


You must pay for your DBS check and administration fee via the on-line service. You will be asked to pay using debit or credit card details. This is a secure system and your details will not be stored or used for other purposes. Please note that you will not be able to book an appointment to have your ID verified, in order to complete your application, until this fee is paid.




What is the DBS Update Service?


The update service is an online subscription that allows you to keep your DBS certificate up to date and, with your permission, allows Care Inspectorate Wales to make periodic checks of your certificate.

The service is available for an annual fee (currently £13) and your subscription must be renewed each year if you want to maintain the benefits of the service.




If I subscribe what are the benefits to me?


The Update Service gives you control of your certificate and portability within the same work force area. As long as you maintain your subscription and there is no change to the status of your certificate, you will not need to renew your certificate as required by regulations.

Subscribing to the updates service means you will not need to apply of another DBS check (providing no new disclosure information becomes available).

Subscribing to the update service enables you to essentially spread the cost of the DBS check.
